When a new member joins online sucessfully we get an email into the 'from admin' folder advising an application for membership has been received (these emails are both from and to the admin email address!) and also an email into the 'worldpay' folder confirming the creation of a FuturePay agreement. Both emails give the new trial member's name etc.
 
Sometimes it just doesn't seem to work. Perhaps the prospective member decides not  continue with the payment but it may be the system that fails to process the payment (ie maybe link to WorldPay fails). We don't really know.
 
In those cases we just get the email in the 'from admin' folder; there's nothing corresponding received from WorldPay and the potential joiner will not appear in our membership records.
 
Therefore as a matter of routine, keep an eye on the 'from admin' folder and check that there is always a matching email from WorldPay.

If not please first confirm they are not in our membership records and then send an email to the potential member similar to that below:


Dear X,

It appears that your application to join online on xx Xxx xxxx did not go through to completion, no subscription was collected by WorldPay and you have merely been registered as an enquirer. Perhaps you decided not to proceed or perhaps there may have been some glitch in the system.

If you are still interested in joining our club may I suggest  that you  give it another try. You should receive an email from London IVC with your log on password etc and also an email from WorldPay confirming your payment agreement. If you have any queries please don't hesitate to contact us.

Apologies for the inconvenience. We would be very happy to welcome you as a trial member.
